RunThrough Events Terms and Conditions

1. Fundamentals

1.1 RunThrough Events are operated by GW Active Ltd Trading as RunThrough Events.

1.2 By entering a RunThrough Event, you agree to these Terms and Conditions. If you disagree with any part, please do not enter.

1.3 If you are unsure about any aspect, please contact us at [email protected] for clarification.

1.4 Your attention is particularly drawn to clauses on Entry Transferability, Event Cancellation, and Liability.

1.5 RunThrough Events reserves the right to amend these Terms and Conditions at any time by posting updates online.

1.6 Group and Third-Party Bookings:
Participants agree that where a booking is made on behalf of others, all participants included in the booking are bound by these Terms and Conditions. It is the responsibility of the individual making the booking to ensure that all participants have read and understood these terms.

1.7 When entering on the day of an event, in person, by confirming your full name, DOB and email address you understand that you are agreeing to our full terms and conditions stated below.

1.8 When registering for an event all participants are agreeing to abide by our Code of Conduct (see below terms) at all race venues and RunThrough organised social events. All decisions about appropriate or inappropriate behaviour are at the sole discretion of the event organisers RunThrough Events.

2. Entry and Participation

2.1 Entry to RunThrough Events requires agreeing to these Terms and Conditions.

2.2 By entering, participants agree to receive event-related communications. Contact information will not be shared with third parties without consent.

2.3 RunThrough Events reserves the right to amend or cancel events without prior notice, including changes to race time, date, venue, fees, or prizes.

2.4 In case of cancellation due to events beyond our control (e.g., extreme weather, pandemics), we will attempt to reschedule. If not possible, partial refunds or charity donations will be considered.

2.5 Participants who choose not to race after an event is rescheduled will not be entitled to a refund.

3. Refund and Transfer Policy

3.1 RunThrough Events operates a no refunds policy.

3.2 If you cannot attend and notify us at least 14 days prior to the event, you may:
Transfer your entry to another person.
Transfer to another RunThrough event.
Receive store credit for future events.

3.3 A £5 admin fee applies for changes unless a Flexi Package was purchased, which allows unlimited changes up to 24 hours before the event.

4. Age Restrictions

4.1 Minimum age requirements:
5K: 11 years old
10K: 15 years old
Half Marathon: 17 years old
Marathon: 18 years old

4.2 Adults or guardians entering minors into children’s races do so at their own risk.

5. Liability and Risk Acknowledgement

5.1 Participants enter RunThrough Events at their own risk.

5.2 RunThrough Events accepts no liability for any injury, illness, loss, or damage to personal property before, during, or after the event.

5.3 It is the participant’s responsibility to ensure they are fit and healthy enough to participate. RunThrough Events is not liable for injuries caused by pre-existing conditions.

5.4 RunThrough Events will not be liable for injuries resulting from weather-related conditions, including but not limited to:
Wind, ice, snow, or rain
Falling infrastructure due to strong winds
Slips, trips, or falls caused by wet or icy surfaces
Overheating due to high temperatures or extreme heat conditions

Participants must make their own judgment about whether conditions are safe. By participating, they accept full responsibility for any weather-related injuries.

5.5 If a participant deems conditions unsafe, they may request a free transfer to another RunThrough event of equal or lesser value by contacting RunThrough Events via the website. Choosing to participate instead is at the participant’s own risk.

5.6 RunThrough Events accepts no liability for injuries resulting from:
Trips or falls on matting, wires, potholes, or loose equipment that can be reasonably seen
Actions of other participants or members of the public
Hazards in outdoor and uncontrolled environments, including but not limited to uneven terrain, potholes, wildlife, and other natural hazards.

5.7 RunThrough Events will not be held liable for any injuries resulting from a participant’s lack of vigilance, including but not limited to trips, slips, or falls caused by failure to observe obstacles, uneven terrain, or other course hazards. Participants are fully responsible for navigating the event safely.

5.8 RunThrough Events accepts no liability for:
Business losses (loss of profit, business interruption, or business opportunity)
Indirect or consequential losses (travel or accommodation costs)

5.9 Participants must secure their personal belongings. RunThrough Events is not responsible for the loss, theft, or damage of items.

5.10 Assumption of Inherent Risks:
Participants accept the inherent risks of endurance events, including but not limited to physical strain, injury, dehydration, or even death.

5.11 Personal Insurance Responsibility:
Participants must arrange their own insurance for personal injury or property damage. RunThrough Events does not provide coverage.

5.12 Event Modifications:
RunThrough Events reserves the right to alter the event course, distance, timing, or format. No refunds will be issued for such changes.

5.14 Equipment Use Disclaimer:
Participants must ensure any personal equipment used is safe. RunThrough Events accepts no responsibility for injuries from faulty or unsuitable gear.

5.16 No Responsibility for Third Parties:
RunThrough Events is not liable for the actions of third-party vendors, volunteers, contractors, or sponsors.

5.17 Waiver of Class Action Lawsuits:
Participants waive the right to participate in any class action lawsuit. Any legal claim must be resolved individually.

5.18 Force Majeure:
RunThrough Events is not liable for event disruption caused by factors beyond its control, including but not limited to:
Severe weather
Natural disasters
Acts of terrorism
Government restrictions
Health emergencies (e.g., pandemics)

5.19 RunThrough Events shall not be liable for any refund, loss (including indirect or consequential loss), damage or expense caused by a Force Majeure Event.

6. Photography and Media Consent

6.1 Participants consent to being photographed or filmed during the event. RunThrough Events may use images for promotional purposes.

7. Charity Entries

7.1 One of our goals is to provide a secure platform for participants to register their interest in events they can take part in for charitable causes. As part of this service, we collect personal information solely for the purpose of passing it on to the selected charity and/or event you are interested in fundraising for or participating in.
7.2 Your data will be securely stored only for as long as the charity remains part of our charity program. We work with trusted partners who assist in performing this service on our behalf.

7.3 RunThrough Events does not and will never sell your personal information to any third party in connection with a charity enquiry or charity program.
7.4 Your personal data will only be shared under the following circumstances and solely with your explicit consent:
• A charity you have expressly given permission to access your data so you can take part in a challenge or event on their behalf.
• A charity selected by our partner based on the category of events or challenges you have explicitly requested to participate in.
• A partner who provides a benefit or service to support you or the charity in your fundraising activities.
7.5 By providing your details to a charity, you give explicit permission for them or their appointed agency to contact you regarding the event or similar events they believe may interest you. This may include contact through email, phone, text, or other preferred methods to support your participation or encourage further support for their cause.

8. Governing Law

7.1 These Terms are governed by the laws of England and Wales.

7.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Code of Conduct

RunThrough Events is committed to providing a safe, welcoming, and inclusive environment for all participants, volunteers, staff, and spectators. By entering a RunThrough Event, you agree to abide by this Code of Conduct at all race venues and RunThrough-organised social events.
All decisions regarding appropriate or inappropriate behaviour are at the sole discretion of RunThrough Events.

Expected Behaviour
• Be considerate and respectful to all participants, staff, volunteers, and spectators.
• Refrain from demeaning, discriminatory, or harassing behaviour and speech.
• Be mindful of surroundings and fellow participants. If you witness or are involved in a dangerous situation or see someone in distress, alert a race marshal immediately.

Unacceptable Behaviour
Unacceptable behaviour includes but is not limited to:
Harassment or Abuse: Intimidating, harassing, abusive, discriminatory, derogatory, or demeaning conduct toward any participant, staff, volunteer, or spectator.
Harassment Includes:
• Offensive verbal comments related to gender, sexual orientation, race, religion, or disability.
• Inappropriate use of nudity or sexual imagery.
• Deliberate intimidation, stalking, or following.
• Harassing photography or recording.
• Sustained disruption of event proceedings.
• Inappropriate physical contact and unwelcome sexual attention.
Inappropriate Attire: Wearing clothing unsuitable for a sporting event, including provocative or potentially offensive attire.
Physical or Verbal Aggression: Physical, written, verbal, or other abuse, intimidation, threats, harassment, stalking, pushing, shoving, or any physical force that creates a disturbance or causes danger or anxiety to others.
Weapons: Possession of any item that could be used as a weapon and may pose a danger to others.
Offensive Behaviour: Boisterous, lewd, or offensive behaviour or language, including profanity, obscene gestures, or racial, religious, gender, or ethnic slurs.
Illegal Substances: Possession or use of any illegal substance. RunThrough Events strictly prohibits illegal substances at all events.
Disturbing the Peace: Assembling for the purpose of disrupting the event, committing unlawful acts, or engaging in offensive behaviour.
Non-Compliance: Failure to follow event rules or venue regulations as instructed by the Race Director or event officials.

Consequences of Unacceptable Behaviour
Unacceptable behaviour will not be tolerated under any circumstances.
Anyone asked to stop unacceptable behaviour is expected to comply immediately.
RunThrough Events may take any action deemed appropriate in response to unacceptable behaviour, including but not limited to temporary or permanent suspension from current or future events.

Reporting Unacceptable Behaviour
If you experience or witness unacceptable behaviour or have concerns during an event:
• Notify a RunThrough Events staff member or marshal immediately.
• All reports will be handled discreetly and confidentially.
• RunThrough Events staff are available to help contact venue security or local law enforcement if necessary and will provide support to ensure your safety throughout the event.
